The best time to ask is the moment a customer's satisfaction is highest, right after the job is done and working, not a generic delayed email days later. For HVAC businesses specifically: An emergency no-heat or no-AC call and a routine maintenance visit warrant different review-request timing and messaging: the emergency customer's relief and urgency make for a strong same-day request, while a maintenance visit is better followed up after the customer has had a full season to judge the work.
2. Send a direct link, not a search instruction
Send a direct link straight to your Google review form (your Business Profile's review link), not "search us on Google and leave a review." Every extra step loses people.
3. Follow up once, not repeatedly
A single, polite follow-up a few days later catches people who meant to but forgot. Repeated requests read as pushy and can violate Google's review policies if automated too aggressively.
4. Never offer an incentive for a review
Google's policies prohibit offering money, discounts or gifts in exchange for a review, and it's a real risk to your Business Profile if caught. Ask for honest feedback, not a positive one.
